Experienced Medical Receptionist Waimauku & Huapai Clinics | 40 hours per week

We are seeking a highly capable and experienced Medical Receptionist to join our friendly, busy and high-performing team across The Doctors Waimauku and The Doctors Huapai.

This is a full-time position working 40 hours across 5 days per week.

The role will be based across both clinics and may include one later start and later finish on a Monday to support our extended clinic hours. This is a fantastic opportunity for an experienced medical receptionist who enjoys being part of a busy general practice environment, takes pride in providing excellent patient service, and understands just how important an efficient and welcoming reception team is to the successful running of a medical centre.

About The Role

As one of the first points of contact for our patients, you will play an important role in creating a positive and professional experience from the moment they contact or arrive at the practice.

Your day will be varied and may include:

  • Welcoming patients and managing a busy reception area
  • Answering and managing a high volume of telephone enquiries
  • Booking, changing and coordinating patient appointments
  • Supporting patient flow across our GP, nursing and acute care services
  • Processing payments, invoicing and other reception-related administration
  • Managing patient enrolment and demographic information accurately
  • Liaising closely with clinicians, nurses and other members of the wider practice team
  • Maintaining the highest standards of patient privacy and confidentiality
  • Supporting both clinics as required and contributing to the smooth day-to-day running of the practice

About You

You will be warm, professional and confident, with the ability to build rapport quickly with patients and colleagues. You understand that working in general practice can be busy and unpredictable and are someone who can remain calm, organised and solution-focused while managing competing priorities. You will bring strong attention to detail, sound judgement and the ability to recognise what needs to be done without always needing to be asked. Importantly, you will have a strong understanding of patient privacy and confidentiality and recognise the responsibility that comes with having access to sensitive health information. Most importantly, you will genuinely enjoy working with people and understand the importance of treating every patient with kindness, dignity and respect.

Essential Skills & Experience We are particularly interested in applicants who have:

  • Previous medical reception experience, ideally within general practice, primary care, acute care or a similarly busy healthcare environment
  • A strong understanding of general practice workflows and patient coordination
  • MedTech Evolution experience, which would be highly advantageous
  • Excellent verbal and written communication skills
  • Strong customer service and interpersonal skills
  • Confidence managing busy telephone lines and reception areas
  • Good computer literacy and the ability to learn systems quickly
  • Strong administrative and organisational skills
  • Excellent accuracy and attention to detail
  • A clear understanding of patient privacy, confidentiality and the responsibilities associated with working with sensitive health information
  • The ability to prioritise effectively and remain calm under pressure
  • A proactive and flexible approach to work
  • A genuine team focus and willingness to support colleagues across both clinics Experience with medical invoicing, patient enrolments, recalls, ACC processes or other primary care administration would also be an advantage.
