Archway Recruitment is partnering with a specialist engineering and professional services consultancy to recruit an experienced Office Administrator. With a team of approximately 40 people, this organisation delivers complex technical projects across New Zealand and is seeking someone who can become the backbone of its day-to-day operations.

The Role

This is a varied and hands-on position where no two days are the same. Acting as the central hub of the business, you will support managers, project teams, and the wider organisation by ensuring office operations, systems, documentation, and administration functions run efficiently.

You will be trusted to work independently, identify opportunities for improvement, and take ownership of your responsibilities while providing essential support across multiple areas of the business.

Key Responsibilities Include

  • Managing reception and serving as the first point of contact for visitors and callers
  • Providing administrative and project support to managers and project teams
  • Creating, formatting, and maintaining business and project documentation
  • Coordinating meetings, travel, accommodation, and events
  • Managing office supplies, equipment, and vendor relationships
  • Overseeing fleet administration for company vehicles, including WOFs, registration, servicing, compliance, and presentation
  • Supporting health, safety, wellbeing, and quality initiatives
  • Maintaining accurate company records and documentation
  • Identifying and implementing process and system improvements
  • Supporting the smooth day-to-day running of the office

Role Requirements

To be successful in this role, you will bring:

  • Previous experience in administration, office coordination, or business support
  • Strong Microsoft Word skills, including document formatting and presentation
  • Experience preparing, maintaining, and managing business documentation
  • Excellent organisational and prioritisation skills
  • Exceptional attention to detail
  • The ability to work autonomously and manage competing priorities
  • A proactive and solutions-focused mindset
  • Confidence working with a busy and technically focused workforce
  • Strong communication and relationship-building skills
  • A resilient, positive, and adaptable approach
  • A genuine desire to improve processes and take ownership of outcomes

  • Flexible part-time hours, ideally 30 hours per week, with consideration given to 20-30 hours for the right person
  • Competitive salary of $65,000-$70,000 pro rata, depending on experience
