The role | Te mahi

The Faculty of Medicine - Dunedin is seeking a capable and motivated Administrator to provide high-quality administrative support within the Vascular Laboratory, Department of Surgery and Critical Care.

We are looking for an organised, customer-focused administrator who thrives in a busy, people-centred environment. You would be the first point of contact for patients, students, staff and visitors, creating a welcoming and professional environment, supporting the day-to-day operations of the vascular lab. This is a varied role that combines frontline customer service, clinic coordination and general administration.

In this role, you will:

  • Coordinate appointments, referrals, waitlists and patient scheduling using clinical management systems.
  • Maintain accurate patient records and support data integrity.
  • Prepare documentation, manage shared inboxes and calendars, and provide general administrative support.
  • Assist with financial administration including invoicing, purchasing, reconciliations and processing transactions.
  • Support student placements, teaching activities and assessment processes where required.
  • Coordinate meetings, events, travel arrangements and a range of operational activities.
  • Liaise with internal and external stakeholders including health providers, government agencies and community organisations.
  • Contribute to continuous improvement initiatives and work collaboratively across the wider administration team.

To be successful in this role, you'll bring:

  • Experience working in a busy medical, counselling, health or other customer-focused administrative environment.
  • Excellent organisational skills with the ability to manage competing priorities and maintain attention to detail.
  • Outstanding communication and interpersonal skills with a strong customer service focus.
  • Experience using patient or customer management systems.
  • Sound computer skills and confidence using Microsoft Office applications.
  • A commitment to maintaining confidentiality and handling sensitive information with professionalism.

This is a permanent, part time (22.5 hours per week) position based in Ōtepoti, Dunedin.

You will be working alongside another administrator to maintain a roster where you both work Mondays, and work alternative days Tues-Fri.

The salary range for this role is $63,508 to $68,185, Top of Range $73,640 (pro-rata).

You must have the right to live and work in New Zealand to apply for this position.
