Mō Tēnei Tūranga Mahi – About the Role

Our Student Administration Services (SAS) team are at the heart of the learner journey. We support learners from application through to graduation, helping them navigate admissions, enrolment, learner records, programme administration, and graduation processes.

We work closely with faculties and support teams across Ara to provide accurate, efficient, and learner-focused services. Every interaction is an opportunity to make a positive difference, helping learners feel welcomed, supported, and set up for success.

As an Administrator within Student Administration Services, you'll play a central role in supporting the systems, processes and people that help learners move smoothly through their journey at Ara.

You'll work closely with the Head of Student Administration Services and wider teams across admissions, curriculum, timetabling and operations, helping to ensure critical information, systems and processes remain accurate, accessible and fit for purpose.

You will:

  • Coordinate key enrolment resources
  • Update operational procedures
  • Support service improvements
  • Documenting business processes
  • Manage project activity, tracking actions and deadlines and
  • Work alongside senior leaders to streamline the way we do things.

You'll be a trusted organiser, problem solver and connector, helping multiple teams work effectively together while keeping a focus on quality, efficiency and the learner experience.

From overseeing SharePoint migration activities to coordinating reporting and compliance requirements, your work will make a real and visible difference across the service.

We're looking for someone who is naturally organised, enjoys improving the way things work, and can confidently juggle competing priorities without losing sight of the bigger picture.

Ideally, you'll bring:

  • Qualification in NZ Certificate in Business Administration Level 3 / Level 4 or equivalent knowledge gained through experience
  • Strong administrative experience in a complex or regulated environment
  • The ability to coordinate multiple projects, activities and deadlines at the same time
  • Confidence developing and improving systems, processes, templates and documentation
  • Excellent written and verbal communication skills, with a keen eye for detail
  • Strong Microsoft Office skills, particularly Word and Excel
  • The ability to quickly learn new systems and technologies
  • A proactive approach, using initiative to solve problems and keep work moving forward
  • A collaborative, customer-focused style and the ability to build positive working relationships across a wide range of teams
  • The ability to work independently while remaining connected and responsive to others
  • Great organisation and time management skills, with the flexibility to adapt when priorities shift

Experience working in a tertiary education environment would be beneficial, but this is not essential.
