We’re looking for an organised and proactive Administrator to provide high level, generalist and administration support to the Dean and Head of Region in the Office of the Dean, Faculty of Medicine - Dunedin. You’ll be a trusted and reliable team member who brings initiative, clarity and a strong sense of ownership to your work. Responsibilities include managing calendars and inboxes, coordinating travel arrangements, and tracking approvals to support the smooth day-to-day operation of the Office. The role also provides support for meetings and committees, for processes such as expressions of interest, academic promotions, research & study leave, and contributes to transactional finance and Faculty-wide initiatives.

You are a confident and proactive administrator who enjoys working with people and delivering great service. Comfortable balancing competing priorities, you build strong connections, communicate effectively, and help ensure operations run smoothly. Other key skills you will need are:

  • Excellent attention to detail and able to consistently deliver accurate, quality work.
  • High level diary management, correspondence, and meeting administration.
  • Ability to build positive, trusted relationships through a professional and approachable style.
  • Flexibility, able to operate in an environment with changing priorities and manage multiple tasks effectively.
  • Self-directed and can manage time well, be highly organised.
  • Dedication to working in a culturally safe and respectful manner, with respect and appreciation of Te Tiriti o Waitangi principles.

Divisional Services and Administration are a group of highly skilled professional staff responsible for delivering an outstanding student and staff experience through high quality, effective service delivery to all of the University’s internal and external customers.

This is a full-time (37.5 hours) fixed-term (August 2026 – August 2027) position, based in Ōtepoti, Dunedin.

The appointment range is $63,508 to $68,185. Top of the range is $73,640.

You must have the right to live and work in New Zealand to apply for this position.

We are also seeking candidates for Kaiwhakahaere Tari positions, which support the implementation of our Māori Strategic Framework. The appointment range for these $69,931 to $74,609. Top of range $80,285 per annum.
